Visitor AI assistant (two-way visitor communication)

Written by Thijs Morlion

In addition to automated, one-way communication (SMS, WhatsApp, kiosk instructions), Peripass supports the visitor AI assistant. This assistant allows drivers to ask questions and receive contextual answers throughout their visit.

When to use the visitor AI assistant

The visitor AI assistant is especially useful when:

  • Drivers frequently interrupt operational personnel with questions

  • You want to reduce manual intervention from gatehouse staff or dispatchers

  • Drivers get stuck during registration and require operator assistance

  • Instructions are complex or highly site-specific

  • You want to provide additional guidance for on-site navigation

The main idea

The visitor AI assistant is configured using site-specific information, enriched with your operational context (e.g. registration steps, procedures, safety rules, navigation instructions).

Drivers can interact with the assistant:

  • During registration (kiosk or Mobile Driver Portal)
The assistant understands the driver's current step in the flow and provides page-specific guidance.

  • After registration (WhatsApp or Mobile Driver Portal)
Drivers can ask follow-up questions such as:

    • "Is my registration complete?"

    • "Can I proceed to the dock?"

The assistant provides real-time answers based on the information configured for your site. It answers briefly, in the driver's language, and can include your site images in its answer.

Configure the visitor AI assistant

Go to Configuration > General Settings > Site, open the action menu on the site row and select Manage visitor AI assistant. Settings are per site. Click Save to apply changes.

1. Add your site information

In the Data used by the visitor AI assistant section, use the Site information field to enter all relevant information about:

  • Your registration process

  • Site procedures

  • Safety instructions

  • Navigation guidelines

You can also add images with context (e.g. maps, signage, instructions) under Images to support the assistant with visual guidance. For each image, add a Description that explains what the image shows and when the assistant should use it in an answer. Click Add another image to add more.

2. Enable the visitor AI assistant on channels

In the Enable visitor AI assistant section, select where the visitor AI assistant should be available:

  • Enable visitor AI assistant in WhatsApp messaging with drivers

    • Drivers who chose WhatsApp as their communication channel can chat with the assistant.

  • Enable visitor AI assistant on physical kiosks

    • Adds a Help button to the physical kiosk.

  • Enable visitor AI assistant on the Mobile Driver Portal

    • Adds a Help button to the Mobile Driver Portal.

You can turn on any combination. All three are off by default.

Drivers who chose SMS, Telegram or Viber can't chat with the assistant.

3. Flag exceptions

In the Exceptions section, turn on Flag exceptions to let the assistant flag the visitor when a person needs to take over. Off by default. See Hand off to your site staff below.

4. Custom fields

By default, the assistant does not use your custom fields. To let it use the value of a custom field when it answers driver questions, click Add field under Custom fields and select the field in the new row. To stop using a field, remove its row with Remove field.

This is the same setting as Available for visitor AI assistant on the custom field, so it applies to every site and profile that uses the field.

Keep in mind:

  • Email address and phone number fields can never be made available to the assistant.

  • A custom field is only used when it has a translated label.

What the assistant knows

The assistant answers based on:

  • Your site details (such as name, address, time zone and local time), your Site information text and your site images with their descriptions

  • During registration: the current step, the options on screen, the answers the driver already gave, and the profile

  • Once the driver is linked to a visitor: the visitor status and on-site status, slot, arrival and dispatch windows, yard locations, access PIN, pickup and drop-off information, earlier messages in this visit, and the custom fields made available to the assistant

The assistant never uses the visitor's name, badge numbers, licence plates, tasks, email address or phone number fields, or certified-person data.

The assistant cannot change anything, and it does not make access or safety decisions.

Driver experience

On the kiosk and Mobile Driver Portal

Drivers can open the visitor AI assistant by tapping the Help button in the top bar. The button appears once the driver has selected a language.

When a driver doesn't interact with a screen for 15 seconds, a Do you need help? bubble appears next to the Help button. Drivers can tap it to open the chat or dismiss it. The bubble is not shown on screens such as the camera, scanning, signature and printing screens, but the Help button stays available.

Once activated, the assistant greets the driver and provides context-aware support, based on the current step in the registration flow. In the chat, the assistant appears as Peripass with a Visitor AI assistant badge.

The conversation continues when the driver moves to the next step. When the kiosk returns to the home screen, the conversation is cleared, so the next driver starts fresh.

If drivers keep the Mobile Driver Portal open after registration, they can continue using the assistant during their visit.

On WhatsApp

When enabled on WhatsApp, the assistant creates a single conversation channel:

  • At the end of registration, the driver receives a short introduction message on WhatsApp that welcomes them to the site and invites them to ask questions. This message is sent once per visit.

  • All instructions are sent via WhatsApp

  • Drivers can ask questions and receive answers in the same thread

This creates a seamless, two-way communication experience.

Hand off to your site staff

When Flag exceptions is on, the assistant flags the visitor with the Visitor AI Assistant Handoff exception when a person needs to take over, and it tells the driver that it has done so. This happens when:

  • The driver is blocked and the assistant can't help (for example, a PIN that doesn't work, or a problem with access, the gate or the dock)

  • Instructions conflict and the assistant can't tell which one is current

  • The driver asks for a person and it is clear what is wrong. If it is not clear, the assistant first asks a clarifying question.

Questions asked before a registration exists can't be flagged.

Operators see the Visitor AI Assistant Handoff exception like any other exception, for example on the visitor and in the exception monitor. To see what the driver asked, open the Visitor Communication tab on the visitor.

When Flag exceptions is off, the assistant tells the driver that it can't help further, for example by sending them to reception.

Improve your setup based on driver questions

Once your visitor AI assistant is live, you can return to the settings page to review the Most frequently asked questions by your drivers. The two most frequent questions are shown with a count. Click Show more (or Show all questions) to see the full list. The list is refreshed about every 30 minutes.

These insights help you to:

  • Improve and refine your Site information and images

  • Optimize the registration flow

  • Adjust on-site communication (e.g. signage, instructions)

By continuously learning from driver interactions, you can reduce confusion and further streamline the driver experience.
